# Create and assign a Training Plan program

## Order training plans, gate each one on the plan before it, and schedule a timed certification.

A program puts several training plans in the order learners take them. You assign the whole program in one action. Each plan can open at the start, open after an earlier plan is passed, or open and close at a set date and time, such as a live certification.

### Before you start

- Programs are available to **Org Admins**. Team admins don't see the **Programs** tab.
- Programs are turned on for one organization at a time. If you don't see the **Programs** tab in Training Plans, ask your Customer Success Manager to turn it on.
- Build and activate the training plans first. A program uses training plans that already exist; it doesn't create new ones.

### Example used in this article

This article builds a three-plan onboarding program:

1. **Discovery Foundations** opens when the program starts.
2. **Objection Handling** opens after the learner passes Discovery Foundations.
3. **Annuity Advisor Certification** opens and closes at a set date and time that you pick when you assign the program.

### Step 1: Start a new program

1. Go to **Training Plans** and select the **Programs** tab.
2. Select **Create Program**. The **Create Program** dialog opens.
3. Choose where the program starts from:

- **Blank**: an empty program. You add the plans on the next screen.
- **From a Template**: a program template your organization saved. See [Save a program as a template](https://support.brevitypitch.com/en-us/knowledgebase/create-and-assign-a-training-plan-program#save-a-program-as-a-template).
- **From selected plans**: the plans you selected in **All Training Plans**, in the order you selected them.
- **From a folder**: every plan in a folder. A folder has no order, so the plans arrive alphabetically. Put them in teaching order on the next screen. Plans added to the folder later are not added to the program.
- **Clone a program**: a copy of an existing program.

1. Enter a name in the **Program name** field.
2. Select **Continue**. The guided setup opens. The program name stays at the top of every setup screen.

To start from plans you already picked, go to **All Training Plans**, select two or more plans, then select **Create program from selection**. The dialog opens on **From selected plans** and lists the plans in the order you selected them. Every plan after the first opens when the one before it is passed. You can change that in the setup.

### Step 2: Add the plans in order

1. Select **Add training plans**. The **Add training plans** panel opens.
2. Tick each plan learners take, in the order they take it. Use **Search plans by name** or the **Folder** filter to find plans.
3. Select **Add \[number\] plans**.
4. To change the order, drag a card or use its arrows. Learners move through the plans from left to right.
5. Select **Next**.

A training plan can appear only once in a program. Archived plans can't be added.

### Step 3: Choose how long the program runs

The setup asks **How long does this program run?** Dates count from the start date you pick when you assign the program.

- **Set the number of weeks**: the program ends on the last day of the last week. Enter the number in the **Weeks** field.
- **No set length**: the program has no end date, and plans have no due dates.

If you set a length, the setup also asks **What happens when the program ends?**

- **Learners can still finish.** Learners can keep practicing after the program ends.
- **Access ends.** Learners can't start anything new after the last day. They can still review their scores and recordings.

### Step 4: Choose when each plan opens

The setup asks **When does each plan open?**

- **All at the start**: every plan is available as soon as the program starts.
- **One after another**: each plan opens when the one before it is passed.
- **I'll set each one**: you choose an opening rule on each plan card.

When you select **I'll set each one**, each card offers these rules:

- **When the program is started**
- **When the previous plan is passed**
- **When a particular earlier step is passed**. You can require one or all of the steps you name.

For the example program, select **I'll set each one**, then set:

- **Discovery Foundations**: When the program is started
- **Objection Handling**: When the previous plan is passed
- **Annuity Advisor Certification**: When the program is started

The certification is set to **When the program is started** so that it isn't held behind another plan. You choose its exact date and time when you assign the program.

Each card also has **Appears after**, a number of days or weeks after the start before the plan shows to learners. Select **Use for every step** to copy a card's value to the other cards.

A plan opens only when the learner **passes** the plan it waits on. Completing a plan without passing it keeps the next plan locked. A learner can retake the plan, and the next plan opens on the first pass.

### Step 5: Set due dates

This step appears only if the program has a set length. The setup asks **When is each plan due?** Due dates count from the start date.

- **Spread across the weeks**: due dates are evenly spaced from the start to the end of the program.
- **All due at the end**: every plan is due on the last day of the program. Use this when learners can work in any order.
- **I'll set each one**: enter the number of days or weeks after the start that each plan is due.

A plan that opens at a set time has no due date. It closes at its set time instead.

### Step 6: Mark the plans that open and close at a set time

The setup asks **Do any plans open and close at a set time?** Use this for a live session or a timed certification.

1. Select **Yes**.
2. Under **Which plans?**, select each plan that opens and closes at a set time. In the example, select Annuity Advisor Certification.
3. Select **Next**.

If you chose **All at the start** or **One after another** in Step 4, each set-time plan also offers **Only learners who have passed \[previous plan\] can take it.** Learners who haven't passed the previous plan by the time this plan opens can't take it. With **I'll set each one**, the plan's own opening rule decides this.

You don't enter dates here. You pick the open and close date and time each time you assign the program, so different groups can take the same program on different dates.

### Step 7: Review and save

The **Review** step shows each plan with its settings. A set-time plan reads "You pick its date, open time and close time when you assign the program."

1. Check each plan. You can change any setting on this screen before you save.
2. Select **Save program**.

The program page opens with two tabs, **Plans** and **People**. The **Plans** tab summarizes the setup; select **Edit setup** or change a card, then select **Save**.

### Step 8: Assign the program

On the program page, open the **⋮** menu and select **Assign**, or select **Assign people** on the **People** tab. The **Assign program** panel opens with three steps: **People**, **Dates** and **Review**.

#### People

Select the learners. Use search and filters to find them, then select **Next**. You can assign up to 2,000 learners at once.

#### Dates

1. Under **When does this group start?**, set the **Start date**. It defaults to today. Due dates count from this date.
2. For each set-time plan, enter the **Opens** date and time. **Closes** fills in for 5:00 PM the same day; change it if the plan stays open longer. Moving the open date moves the close date with it. You can't assign until every set-time plan has both.
3. Check the line "Times are in \[timezone\]." It defaults to your browser's timezone. Select **Change** to pick another.

By default, every due date is fixed when you assign, counted from the start date. To count each plan's due date from the day that plan opens, select **Change** next to that line and choose **When each plan opens**. This setting applies to every group you assign the program to.

#### Review

The table **What one learner starting fresh will get** shows each plan, when it opens and its due date. For the example program:

- **Discovery Foundations**: With the program, due Nov 4
- **Objection Handling**: Step 1 is passed, shown as **Locked**
- **Annuity Advisor Certification**: With the program, "Appears Nov 12, 2026"

If some of the selected people already hold a plan in this program, the step says so. Those learners start with more plans open than the table shows.

If any plan in the program is inactive, the step lists it and selects **Make these plans active when I assign** by default. Learners don't get reminders and don't appear in analytics for inactive plans.

Select **Assign to \[number\] people**. The assignment runs in the background, and you can close the panel while it runs. If it stops partway, select **Run it again**. People already assigned are skipped.

### What learners see

- Learners get an email and an in-app notification only for the plans that open right away.
- A locked plan sends no email and doesn't count as overdue until it opens.
- When a locked plan opens, the learner gets a notification with the plan name and its due date.
- A learner who opens a locked plan sees what to pass first, for example "Pass "Discovery Foundations" first."
- After a set-time plan closes, the learner can no longer practice it.

### Track a program

The program's **People** tab shows each group's start date and counts, with **Change dates** to move the group's dates. Below that it lists each learner with their **Start date**, **Plans passed** (for example "1 of 3"), **Status** (**Completed** or **Not completed**) and the date the program **Ends**.

For section-level progress and scores, open each plan's **Analytics** tab. A plan that is still waiting on an earlier plan shows a **Locked** chip next to the learner's due date. See [Training Plan Analytics](https://support.brevitypitch.com/en-us/knowledgebase/training-plan-analytics?hsLang=en-us).

### Assign the same program to another group

Assign the program again with a different start date and different set times. In the example, one group can take the certification in November and the next group in December.

### Save a program as a template

1. Open the program's **⋮** menu and select **Save as template**.
2. Enter a **Template name**. The **Plans and timing** list shows each plan and whether it is saved as an **Existing template** or a **New template**.
3. Select **Save template**.

Program templates appear on the **Templates** tab. Use the filter at the top (**All**, **Training plans**, **Programs**) to find them. To build a program from one, open the template's menu and select **Create from Template**, enter a **Program name**, then select **Create** or **Create and assign**.

A template can store a set-time plan's week, day, and open and close times. Those times are filled in when you assign a program made from the template.

### Frequently asked questions

**Can I assign a program to someone who already has one of its plans?**
Yes. If the learner is already working on or has finished a plan in the program, that plan opens for them. They aren't locked out of work they started.

**Can I change one learner's due date after assigning?**
Yes. Change it from the plan's **Analytics** tab, for one learner or for a selected group.

**How do I remove a learner from a program?**
Open the program's **People** tab, open the learner's row menu, and select **Unassign from program**.

**Can I delete a program?**
Unassign every learner first. A program with learners on it can't be deleted.
