Enabling Phone-Based Role Plays for your Brevity Team

Enable Brevity phone-based role plays to allow your team to practice Brevity role plays on the go

 

We’re currently transitioning our admin model from Team > Group to Organization > Team > Group, with admin roles becoming Organization Admin and Team Admin. As a result, some language in this article (for example, references to “Team” or “Group”) may not exactly match what you see in the product today. The underlying functionality described here remains the same, even if the labels and hierarchy in your app look slightly different while we complete this transition.

Overview

Brevity phone-based role plays allow Brevity users to practice assignments over the phone whenever and wherever. Once enabled, users can use their cell phones to manage and complete any assigned Brevity role plays.

Admin users can make Brevity assignments available for phone-based role plays in the assignment's settings, and they can manage all available phone-based role plays from the Team Settings page.

Prerequisites

In order to use Brevity phone-based role plays, Brevity users first need to verify their phone numbers from the My Profile page in Brevity. While each user will need to verify his or her own phone number, team admins can remind users via email to verify their phone numbers from the Team Settings page.

To request that a single team member verify their phone number:

  1. Click the three-dots menu at the far right of the user's row.
  2. Click Send email reminder to verify phone number.

To request that multiple team members verify their phone numbers:

  1. Click the check box at the far left of each user's row.
  2. Click Actions > Send email reminder to verify phone number.

Enabling Phone-Based Role Plays for Users

When you enable phone-based role plays for your Brevity team, users with verified phone numbers will receive an SMS message that includes instructions for using Brevity phone-based role plays. You can enable phone-based role plays from your Brevity Team Settings page by enabling the Enable Phone-based Role Plays toggle.

Note that once enabled, phone-based role plays can be disabled for the entire team only by reaching out to Brevity Support or your Brevity Customer Success Manager. Individual users, however, can unsubscribe from phone-based role plays at any time using the phone-based role play SMS guide.

Making an Assignment Available for Phone-Based Role Play

You can make an assignment available for phone-based role play when creating or editing an assignment in the Assignment Editor. For more information about creating and editing assignments, see:

To make an assignment available for phone-based role play:

  1. In the Assignment Editor, enable the Phone-Based Role Play toggle.
  2. Click Save. The assignment now appears in the Included Assignments section in Team Settings.

Managing Active Phone-Based Role Play Assignments

You can manage which Brevity assignments are available to phone-based role play users in your Brevity Team Settings page.

  1. Click the Included Assignments drop-down to see a list of all assignments that have been made available for phone-based role play.
  2. Select the check box to the left of the assignment name to make that assignment active and available to phone-based users via the SMS menu. Deselect the check box to remove the assignment from the SMS menu.
  3. Click Save.
