# Roll out Brevity in waves

## Schedule invitations in waves and write the message people receive.

A wave is a group of people whose invitations go out on the same date. Waves let you bring people into Brevity in stages, so each group arrives when you are ready for them. You schedule waves in the **Schedule invite waves** step of Launch Hub and write the invitation message in the **Write the welcome email** step.

### Before you start

- Waves are scheduled by **organization admins** in Launch Hub.
- Upload your people first, in the **Upload your people** step. Launch Hub saves uploaded people as drafts by default, so nobody gets an invitation when you upload.
- Nothing is sent when you schedule a wave. Invitations go out only after you select **Schedule launch** in the last step, and never before each wave's date.
- Every person you uploaded needs a wave before you can schedule launch.

### Recommended order

1. **Wave 1: the people helping you configure Brevity.** Include your subject matter experts, the people creating content, and the people managing users. They get content and users ready before anyone else arrives.
2. **Wave 2: your team admins.** Schedule this wave ahead of their onboarding call, so they know their role in Brevity before their reps arrive.
3. **Wave 3: everyone else.** Members arrive once content is ready and their team admins know what to look for.

Leave enough days between waves to act on what each group finds. Each wave can have its own date and time.

### Schedule a wave

1. Select **Home** to open Launch Hub.
2. Open the **Launch** section and select **Schedule invite waves**.
3. Select the people in this wave. The list opens on people with the **Draft** status, which means they have no send date yet.
4. Select **Schedule for wave 1**. The number in parentheses is how many people you selected.
5. Enter the **Send date & time**.
6. Choose a **Time Zone**. It defaults to your browser's time zone.
7. Leave **Send an email invitation at go-live** selected to email each person on that date.
8. Select **Schedule wave 1**.

The wave is saved and the list resets for the next wave. Repeat these steps for wave 2 and wave 3. Launch Hub numbers each new wave for you.

#### Choose a wave's audience

Use search and filters to find the people for a wave.

- Search by name or email.
- Select the filter icon to filter by **Team**, **User Group**, **Role** or **Status**.
- For the team admins wave, set **Role** to **Team Admin**.
- For a wave by region or department, set **Team** or **User Group**.

People who have already joined, and people whose invitation has already been sent, don't appear in the list.

#### Send without an email

If you clear **Send an email invitation at go-live**, nobody in the wave gets an email. On the wave's date, people can join through a shared link or by signing up with their email address.

### Change a wave

Before you schedule launch, you can move people to a different date.

1. Open **Schedule invite waves**.
2. Select the filter icon and set **Status** to **Scheduled**.
3. Select the people to move.
4. Schedule them with the new date and time. The new date replaces their old one.

After you select **Schedule launch**, Launch Hub locks the waves and they can no longer be changed there.

### Check that everyone has a wave

The **Before you can go live** panel lists anyone without a wave, for example "3 people are in no wave". Select **Fix** to open **Schedule invite waves** and schedule them.

If no wave has a date yet, the panel shows "Schedule a wave first."

### Write the welcome email

Brevity sends the invitation. The welcome message is your part of it: a short block of your own words inside the invitation. One message is used by every wave.

1. In the **Launch** section, select **Write the welcome email**.
2. Start from a sample message, or select **Write my own**.
3. Edit the text under **Your message**. The preview shows the whole invitation as people will receive it.
4. Select **Save message**.

#### What to include

Keep it to two or three sentences that say:

- **Who it is from.** Sign it, or use the `[admin_name]` placeholder.
- **Why you are using Brevity.** One reason, in your team's words.
- **What to do first.** Point people to their first assignment.

#### Placeholders

These fill in for each person when their wave sends:

- `[first_name]`: the person's first name. If Brevity doesn't have one, it uses "there".
- `[team]`: the person's team. If they aren't on a team, it uses your organization's name.
- `[admin_name]`: the name of the admin who invited them.

Brevity adds the sign-in link. A link you paste into your message won't work for the person reading it. The subject line and the rest of the invitation can't be edited. Messages can be up to 2,000 characters.

#### Sample messages

Launch Hub offers three starting points: **Straight and short**, **Why we bought it** and **Manager-led**. You can also adapt these:

For team admins:

> Hi \[first\_name\], we're rolling out Brevity so your reps can rehearse calls before they happen. You're getting access before your team so you can see the assignments and your team's results first. Our onboarding call will walk through what to look for. \[admin\_name\]

For members:

> Hi \[first\_name\], \[team\] is using Brevity to practice discovery calls before they happen. Your first assignment is waiting and takes about ten minutes. \[admin\_name\]

#### Send without a custom message

Select **Send it without a message**, then **Continue without a message**. The invitation goes out with Brevity's standard text and no block from you. The step is marked done, and it doesn't block launch.

You can come back and add a message before any wave sends.

### Frequently asked questions

**Can I schedule a wave for a date that has already passed?**
No. The send date has to be in the future. If a wave's date passes before you schedule launch, that wave goes out within a few minutes of selecting **Schedule launch**.

**Do people get anything when I schedule a wave?**
No. Invitations go out only after you select **Schedule launch**, on each wave's date.

**Can I put one person in two waves?**
No. Each person has one send date. Scheduling them again moves them to the new date.

**Does every wave get the same welcome message?**
Yes. One message is used by every wave.
