Training Plan settings: the Settings tab explained

Every Training Plan has a Settings tab where you control how it scores and progresses, who can edit it, how the AI opens a practice conversation, and what learners see on screen. This guide walks through each section. (The Notifications section has its own article — see the end.)

To get there, open a Training Plan and select the Settings tab (next to Content and Analytics).

Scoring & Progress

Retain results for assignees who have completed the assignment before this change.

This setting only matters when you change a plan's completion criteria after people have already finished it. It controls what happens to those already-completed learners:

  • On — Retain: learners who completed the plan before the change keep their completed status and do not have to meet the new criteria.
  • Off — Reset (default): learners who completed the plan before the change will have to meet the new criteria to be marked complete again.

If you're tightening the bar and want everyone re-measured against it, leave this off (Reset). If you're adjusting criteria but don't want to penalize people who already finished, turn it on (Retain).

Permissions

This section appears only to Org Admins — it sets organization-wide permissions for all Training Plans.

  • Allow Team Admins to edit Training Plan content and settings. (Off by default.) When enabled, team admins can edit the content (chapters, sections, criteria) and settings of all Training Plans in the organization.
  • Allow Team Admins to edit Training Plan due dates. (Off by default.) When enabled, team admins can edit due dates for their team members — or their sub-team, if they've been scoped to one. This is a distinct permission from editing content, so you can let a team admin manage deadlines without giving them the ability to change plan content.

Because both are off by default, an org actively using Training Plans needs to turn these on for the team admins who should have them.

AI conversation flow

AI opens the conversation. When enabled, the AI persona delivers an opening line before the learner's microphone activates — the persona speaks first, rather than waiting for the learner to start. Turn it off if you want the learner to open every practice conversation themselves.

Simplified View

Control which UI elements learners see during this Training Plan. Each of these can be turned on or off:

  • Show "Your Progress" block (on by default) — shows or hides the attempts, score, status, and passing-criteria card on the Training Plan welcome page.
  • Show persona bio paragraph (on by default) — shows or hides the biographical text on the pre-role-play screen. The persona's photo, name, and title are always visible; this only affects the bio paragraph.
  • Auto-open help panel in practice sessions (on by default) — when on, the help panel opens automatically as a learner enters a practice session. When off, learners can still open it manually with the Show Help Panel button.
  • Show self-assessment ratings (on by default) — shows or hides the star-rating rows ("How do you think you did?") on the Practice Review screen.
  • One session per day (off by default) — when on, a learner can complete only one session per day; the start button disables after a session and re-enables at midnight in the learner's local time. Off by default, which allows unlimited practice.

If a Training Plan was built from an expert package, the package's author may have locked some of these settings — a locked setting can't be changed at the org level and will show as locked.

Notifications

The Notifications section (delivery channels, learner reminders, and admin alerts) is covered in its own article: Training Plan notifications.

FAQ

When does "Retain results" actually do anything? Only when you change a plan's completion criteria after people have already completed it. It decides whether those learners keep their completed status (Retain) or have to meet the new criteria (Reset).

Why don't I see the Permissions section? It's shown only to Org Admins, and it applies organization-wide to all Training Plans.

Can I let a team admin manage due dates but not edit plan content? Yes — "edit due dates" is a separate permission from "edit content and settings." Turn on only the one you want.

Does turning off "Show persona bio paragraph" hide the persona entirely? No. The persona's photo, name, and title always show; only the longer bio paragraph is hidden.

What does "One session per day" reset on? Midnight in the learner's local time.
