Disabling Member-Level permissions to Create or View Courses 

Adjust access to Ella, Courses tab, and Assignment creation for Members in your Brevity team.

 

We’re currently transitioning our admin model from Team > Group to Organization > Team > Group, with admin roles becoming Organization Admin and Team Admin. As a result, some language in this article (for example, references to “Team” or “Group”) may not exactly match what you see in the product today. The underlying functionality described here remains the same, even if the labels and hierarchy in your app look slightly different while we complete this transition.

Overview

In the Team or Group Settings, Admins can control Members’ access to Courses and Assignment creation. These settings are Enabled by default, granting Members access to Role Play creation features, including Ella, and the ability to view and create new assignments for themselves from available courses. Admin can turn off these features for their Members in the Admin Portal at the All Team or the Group level.

Use Cases

  1. Guided Onboarding with Self-Practice Assignments: If you want your team to follow a specific onboarding curriculum and do not want Members to create their own courses, but you do want them to create extra practice assignments based on existing courses, set: Create Courses = OFF, View All Courses = ON
  2. Custom Self-Service Role Plays, No Access to Admin Content: If you want Members to be able to create their own courses and assignments (for personalized practice or preparing for meetings), but do not want them to view or use Admin-created or company-designed courses, set: Create Courses = ON, View All Courses = OFF
  3. Highly Restricted Access for Candidate Interviews: If you are using Brevity to interview candidates and want to completely restrict their access to all course creation and viewing features—allowing only the ability to participate in assigned role plays—set: Create Courses = OFF, View All Courses = OFF

Turning off Member-level permissions for creation or viewing of courses in Brevity

1. Member can create Courses

  • Description: When enabled, Members are allowed to create new Courses. This means they can access the course creation tools, including the Ella assistant, and add new training content for themselves or others.
  • When turned off: Members will not see the option to create new Courses. The Ella icon and course creation buttons will be hidden from their view.

 

2. Member can view All Courses

  • Description: When enabled, Members can see all Courses available within their team or group. This allows them to browse, review, and assign themselves any Course created by others.
  • When turned off: Members can only view Courses they have created themselves. Courses created by other team members will be hidden from their view, and assignment options are limited to their personal Courses.


Note:

  • These settings can be managed at both the Team and Group level. Group-level settings override Team settings if customized.
  • If both options are turned off, Members will not see any Course content or course-related features in the app. This includes the Ella icon, Courses tab, and "Create Assignment" button.

  1. Click your Team's Logo to navigate to the Admin Portal
  2. Select the 'Settings' tab
  3. Toggle one or both of the Member-Level Permissions to disable / enable these permissions.

 

What Members See Based on Permission Settings

Member can create Courses & view all Courses

This is the default setting with full access to Brevity creation view settings.

What they see/do:

  • Full access to Courses tab.
  • “Create New,” “Clone,” and “Create from Template” buttons visible.
  • Can see all courses within Team/Group.
  • Can create, edit, assign, or clone any course.
  • Assignments tab allows creation for all.

Member can create Courses, can only view their own

What they see/do:

  • Courses tab shows only courses the Member created.
  • Contexts/Personas ONLY from their own repository.
  • No access to admin/other users' courses or content.
  • Assignments tab allows assignments from their own courses.

Courses tab: Members can see, clone, and edit the courses, and related repository items (contexts, personas) they have created. They do not see any items they did not create.

Assignments tab: Members can create assignments from the list of their own courses only.

 

 

 

Member cannot create or view Courses

What they see/do:

  • Courses tab is hidden.
  • Assignments tab: “Create Assignment” is disabled/hidden (since dropdown is empty).
  • Cannot view, create, or assign courses.

Assignments tab: Member cannot create any new assignments. Platform wide: Members cannot access Ella interface or Courses tab.

 

Frequently Asked Questions (FAQ) & Troubleshooting

1. Why can’t my Member see the Courses tab?

This happens when both “Create Courses” and “See All Courses” permissions are disabled for the Member. Enable at least one of these permissions from the Admin settings for the Courses tab to appear.

2. Why is the “Create New” button missing from the Courses tab for my Member?

The “Create Courses” permission must be enabled for the “Create New” button to show. If it’s off, Members can only view courses (if viewing is permitted), not create them.

3. Why can’t my Member clone or edit a course, even though they can view it?

When “Create Courses” is disabled, Members will not see cloning or editing options. They will only have permission to view published courses and create assignments from them (if assigned).

4. My Member can’t see any courses in the drop-down when trying to create an assignment. Why?

This occurs if the Member does not have permission to view any courses (i.e., “See All Courses” AND “Create Courses” are both off). Enable one of these permissions so there is content in the assignment drop-down.

5. Why are some Contexts or Personas missing from the Course Builder for my Member?

If “Create Courses” is on but “See All Courses” is off, Members can only access their own Contexts and Personas in the Course Builder—not any shared or admin-created ones.

6. How do Members know which features they can access?

Members will see (or not see) tabs and buttons based on their current permissions. Admins can view or adjust these settings at any time from the Settings page.

7. How can I allow Members to create and assign their own content, but not see admin-created courses?

Enable “Create Courses” and disable “See All Courses” for these users. This lets them work with only their own created content.

8. What happens if I change a Member’s permissions? Do they need to log out?

Permissions update in real time; Members may need to refresh their browser page to see changes, but do not need to log out.

9. Can I let Members view courses but prevent them from creating assignments?

No. If a Member can view courses, they can also create assignments from that course list.

10. How do I find out which permissions are set for a specific Member?

Go to the Member management section in the Admin portal. Their assigned permissions are listed there and can be edited as needed.

 

Troubleshooting Checklist

  • Missing Tabs or Buttons: Double-check Member-level permissions in the Admin > Settings panel.
  • Course Drop-down is Empty in Assignments: Confirm whether any courses are visible to the Member by reviewing their permissions.
  • Unexpected Access to Content: Ensure the Member is not part of multiple teams/groups with different inherited permissions.
  • Changes Not Reflecting: Have the Member hard-refresh or clear cache if you’ve recently updated their permissions.
