Understanding the Analytics Tab

How to track adoption, engagement, and individual progress across your organization’s training activity.

We’re currently transitioning our admin model from Team > Group to Organization > Team > Group, with admin roles becoming Organization Admin and Team Admin. As a result, some language in this article (for example, references to “Team Admin” or “Group Admin”) may not exactly match what you see in the product today. The underlying functionality described here remains the same, even if the labels and hierarchy in your app look slightly different while we complete this transition.

Analytics Tab Overview

The Analytics tab provides Team Admins with a centralized view of how their users are adopting, engaging with, and progressing through role play–based training. It is designed to help you:

  • Track training adoption and completion.
  • Measure engagement and practice habits.
  • Identify high performers and those who may need support.
  • Export data for reporting and analysis.

On the left side of the Analytics view, you’ll find four dashboards:

  1. Overview
  2. Adoption
  3. Engagement
  4. Individual Progress

All dashboards share common controls at the top:

  • Date range selector – Choose pre-set ranges (e.g., last 7 days, last 30 days) or a custom date range.
  • Filters:
    • Group – Focus on specific teams, regions, or cohorts.
    • Role – Team admin, group admin, member.
    • User – One or more specific individuals.
    • Assignment – Particular training modules, competitions, or workshop-focused role plays.
    • Include closed assignments – Optionally include assignments that have already been closed to capture historical activity.

These controls allow you to tailor every dashboard to the audience, program, or time period you care about.


 

Overview Dashboard

The Overview dashboard is your high-level snapshot of activity and performance across the team.

Key Components

  1. Leaderboard Displays top users based on metrics such as:

    • Number of conversations recorded.
    • Average score.
    • Minutes practiced.

    Use this to:

    • Identify champions and power users.
    • Recognize and celebrate high performers.
  2. Summary Metrics

    • Conversations recorded – Total number of practice conversations in the selected period.
    • Win percent – Percentage of conversations meeting your defined success criteria.
    • Average score – Overall average performance score for the selected filters and date range.
    • Minutes practiced – Total time spent practicing.

    These statistics are useful when reporting:

    • Overall usage of the platform.
    • Training intensity over a given period.
  3. Conversations by Day & User Activity

    • Conversations by day – Daily count of conversations.
    • Percent of users active – Percentage of users who were active (recorded at least one conversation) on each day.

    This chart helps you:

    • Visualize engagement trends over time.
    • Correlate spikes or dips with launches, reminders, or events.
  4. Activity Table A condensed activity feed showing:

    • Which users practiced.
    • Which role plays they completed.
    • Scores and number of attempts.

    Use this view to:

    • Spot-check recent activity.
    • Quickly see what content is being practiced and by whom.

 

Adoption Dashboard

The Adoption dashboard focuses on who is getting started and to what extent they are using the platform.

Key Components

  1. Role Play Activity (Adoption Over Time)

    • X-axis: Date.
    • Y-axis: Percent of users.
    • Lines for:
      • Users with 1 conversation.
      • Users with 2–5 conversations.
      • Users with 6+ conversations.

    This shows what proportion of your user base is practicing, and at what level of activity.

  2. Percent Logged In

    • A visual indicator (circular fill) showing the percentage of invited users who logged in during the selected period.

    Use this to answer questions like:

    • “What percentage of the team has even logged in to start their training?”
  3. Users by Conversations Completed Breaks down your user base by:

    • At least 1 conversation.
    • 2–5 conversations.
    • 6+ conversations.

    Shows both:

    • Percentage of users.
    • Count of users.

    This is useful for:

    • Reporting ‘at-least-one’ completion.
    • Understanding how many users are only lightly engaged versus heavily active.
  4. Users Who Have Not Logged In A list of users who have not logged in within the selected date range.

    Use this list to:

    • Target reminders.
    • Coordinate with managers to drive initial adoption.
  5. Invite-to-Usage Report For each user, shows:

    • Date invited
    • Date of first login
    • Date of first role play

    This creates a simple adoption funnel:

    • Invited → Logged in → Practiced.

    Helpful for:

    • Measuring how quickly invitations convert into active usage.
    • Evaluating effectiveness of onboarding communications.

 

Engagement Dashboard

The Engagement dashboard focuses on the depth and frequency of practice among users who have adopted the platform.

Key Components

  1. Role Play Conversations Over Time

    • X-axis: Date.
    • Y-axis: Total number of conversations.

    This chart helps you:

    • Track changes in engagement over time.
    • See the impact of events such as launches, training pushes, or reminders.
  2. Engagement Metrics (Per User Averages)

    • Average logins per user – How often users log in within the selected period.
    • Average conversations per user – Total conversations divided by number of users.
    • Average minutes practiced per user – Total minutes practiced divided by number of users.

    Use these metrics for:

    • High-level engagement reporting to stakeholders.
    • Comparing engagement across teams, programs, or time periods.
  3. Role Play Practice Pattern (Time-of-Day & Day-of-Week Heatmap) A grid showing practice intensity by:

    • Day of week.
    • Time blocks (e.g., before 8 a.m., 8–11 a.m., 11–2 p.m., 2–5 p.m., 5–12 a.m.).

    Notes:

    • Displayed in your local time zone as the viewer.
    • Reflects user activity translated into your time zone.

    This helps you:

    • Understand when users naturally prefer to practice.
    • Time communications, office hours, or pushes around high-activity windows.
  4. Engagement Leaderboard Ranks users by:

    • Minutes practiced
    • Conversations completed
    • Days logged in

    Use this to:

    • Identify highly engaged users for recognition or peer coaching.
    • Spot patterns (e.g., frequent logins with low minutes).

 

Individual Progress Dashboard

The Individual Progress dashboard provides a detailed, table-based view of each user’s training activity and performance.

Key Components

The table includes one row per user, with the following columns:

  • Last login – Most recent date the user logged in.
  • Date of last conversation – Last time they recorded a conversation.
  • Total assignments – Number of assignments available to that user.
  • Assignments with at least one conversation – Count of assignments where the user has started practicing.
  • Total conversations – All conversations recorded in the selected time period.
  • Total wins – Number of conversations meeting your success or “win” criteria.
  • Win rate – Percentage of conversations classified as wins.
  • Average score – Average performance score across their conversations.
  • Best score – Highest score achieved.
  • Practice minutes – Total time spent practicing.

Filtering and Search

You can:

  • Filter by group to focus on specific teams or cohorts.
  • Filter by assignment to check progress on specific training.
  • Search by user name to locate and review a particular individual.

CSV Export

  • Use Download CSV to export the individual progress table as displayed.
  • CSV export includes all visible columns and rows, allowing:
    • Offline analysis in Excel or Google Sheets.
    • Integration into other reporting tools.
    • Sharing snapshots with leaders or other stakeholders.

 

Individual Report Card (From Individual Progress)

From the Individual Progress dashboard, clicking on any user row opens that user’s Individual Report Card.

Overview Panel

Displays:

  • User’s name and email.
  • Their team and groups.

You can again set:

  • Date range – e.g., last 7 days, last 30 days, custom.
  • Filters – including assignments, to focus on specific programs.

Key Metrics

For the selected time frame, you’ll see:

  • Total conversations
  • Win percent
  • Best overall score
  • Average overall score
  • Total minutes practiced

Each metric includes a comparison indicator (increase or decrease) against the previous equivalent period (e.g., previous week or month), allowing you to track improvement over time.

Conversation Scores Graph

  • Line graph showing each individual conversation’s score.
  • No aggregation—each point is a single practice session.

Use this to:

  • See trends in performance (improvement, inconsistency, or decline).
  • Track the impact of coaching or training interventions.

Tables

  1. Average Score by Assignment

    • Lists each assignment the user has practiced during the selected period.
    • Shows the user’s average score per assignment.
    • Each row is clickable, taking you to the assignment page where you can view all associated recordings.
  2. Role Play Conversation History

    • Lists each individual practice session.
    • Each row links directly to that specific recording.

Clicking into a specific conversation allows you to:

  • Review the score and win status.
  • Read Start/Stop/Continue feedback.
  • Review statement-level feedback.
  • Read the full transcript.

This provides a complete picture of not only whether someone has completed their training, but how well they are performing and what exactly they’re doing in practice, enabling targeted coaching and support.

 


 

FAQ

  1. Who can see the Analytics tab?
    1. At this time, the Analytics tab is only available and visible to Team Admins.
    2. Team Admins can access all dashboards described above (Overview, Adoption, Engagement, Individual Progress) and use the full set of filters and exports.
  2. I’m a Group Admin. Where can I see analytics?
    1. Support for Group Admin access to the new Analytics tab is currently in development.
    2. Until that is available, Group Admins should continue using the existing Analytics dashboard designed specifically for their role.
