Change the dates for a program group

Extend a group's access and due dates from Change dates.

Give a group in a Training Program more time, or move its schedule, from one place. This article covers the dates in a group, how the program end affects due dates, and how to change them.

Before you start

  • You need to be an organization admin.
  • Know what you want to extend: learners' access (when plans close), their due dates, or both. After a due date, learners can still practice and their work is marked late. After a plan closes, they can't start new practice.

The dates in a group

  • Start — when the group begins. It can't change once the group has started.
  • Opens — when a plan appears for learners.
  • Due — the date to finish by. Learners can still practice after it, and late work is marked late.
  • Closes — the hard stop. After it, learners can't start new practice in that plan. Their scores and recordings stay.
  • Program end — the last day for the whole group. Only some groups have one: groups from programs set up with a fixed length. Groups without one don't show a Program end section.

A plan's close must be on or after its due date.

How the program end affects due dates

This applies only to groups with a program end. No plan can be due after the program end. If a plan is set to be due later than the program end, it shows the program end as its due date instead, with a tag next to it. Hover the tag to see the date the plan was set for.

When you move the program end later, those due dates move out with it, up to the date each plan was set for. A due date that was already earlier than the program end stays where it is.

Change a group's dates

  1. Go to Training Plans, select Programs, and open the program.
  2. Select the People tab.
  3. On the group's row, select Change dates.
  4. If the group has a Program end, set the new end date. The field reads Access ends for all plans or Finish all plans by, depending on how the program was set up.
  5. Under Plans, check each plan's Due and Closes, and change any you want to extend. If a plan closes before the new date you want, move its close too. If a plan's dates conflict, a message on that plan tells you what to fix.
  6. Review the summary of who will get the new dates.
  7. Select Save dates. Learners whose dates changed are notified.

People who keep their own dates

If someone's dates on a plan were changed individually, they keep those dates when the group's dates change. The summary in step 6 lists them. To change their dates, open the plan, select them, and choose Update Due Date. Only organization admins can move a person's close date.

FAQ

Why are my learners locked out even though I extended the program?
Each plan has its own close date. Check every plan's Closes in Change dates, not only the last one.

Why does the People tab still show the old end date?
The Ends column shows the program end. Close dates you change on individual plans don't appear there.

Why didn't some people's dates change?
They have their own dates on that plan. See People who keep their own dates.
